The Position

The People Services & Culture Administrative Assistant is responsible for supporting day-to-day reception of the Verona site and performing administrative duties for both the Verona site and People Services and Culture site teams. This role will be the first point of contact for site visitors, and to ensure employees and guests adhere to our security and visitor policies. This role will report to the People Services Specialist and collaborate on administrative duties.   

Responsibilities

  • Be the first point of contact for on-site visitors and receive incoming phone calls; Greet visitors and guests; determine the purpose of each person’s visit, follow security and visitor policy protocols, and direct or escort them to the appropriate location.
  • Reconcile invoices and payments for catering or similar expenses
  • Manage incoming and outgoing mail
  • Perform document management activities, including scanning, filing, uploading, and archiving documents according to company procedures
  • Manage vendor services, contact information, COI requests and management of COIs.
  • Coordinate with vendors for office and amenity related equipment repairs
  • Conduct general data entry and ensure accuracy in spreadsheets, logs, databases and reporting tools
  • Support document control activities related to controlled procedures, records, and forms in compliance with GMP and company quality standards
  • Assist with preparation for employee events
  • Provide general administrative support as needed
  • Maintain general office aesthetics and appearance
  • Other special assigned projects as needed

Requirements:

  • A minimum of 1-year prior experience in a business administrative assistant position or similar
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Advanced proficiency in Microsoft Office Suite.
  • Ability to communicate effectively with stakeholders at all levels.
  • Ability to multitask and adapt to changing priorities in a dynamic environment

Preferred:

  • Preferably 2 years of experience in a business administrative position
  • Prior experience using Microsoft D365, Smartsheet, and/or Veeva
Wisconsin pay range
$40,000$45,000 USD
